Structure Precedes Scale

26 February 2026 · Sipho Mahayi, principal property practitioner

A rental agency that takes on more units before it has a proper system does not get stronger. It just multiplies the number of ways a tenant's or a landlord's money can go astray.

Start with an agency managing a handful of flats from one desk. The agent knows every lease renewal date and every landlord's preferences, and the monthly payments to owners are simple. Then the same agency signs up new landlords with whole blocks each. The same desk is now holding many more deposits, each earning interest that must be worked out and returned, and rent pours into the trust account that has to go out to the right owner, less the right fees, on time every month. A landlord paid late twice starts phoning. A tenant whose repair request gets lost starts looking elsewhere.

Honestly, the slow part of building a rental business is the part nobody sees. It is writing down how a lease is signed, where every document lives and who reconciles the trust account, before the extra work arrives rather than after.

If those procedures exist before the growth, the new units are simply more of the same work. If they do not, the cracks tend to show in the trust account first, and the auditor finds them before the owners do.
