Institutions Lose Power the Moment They Cannot Say No

25 March 2026 · Sipho Mahayi, principal property practitioner

The most powerful word in a letting office is also the cheapest one to say, and the hardest. No.

Say a landlord has had a flat standing empty for two months and is losing patience. An applicant arrives with cash for the deposit and the first month's rent, but the payslips look thin and a previous landlord does not answer the phone. The landlord wants the tenant in by Friday. An agency that can say no will explain why it wants to finish the checks first, and accept that the landlord may be annoyed for a week. An agency that cannot say no signs the lease, and then owns whatever happens next, including months of chasing arrears and the slow, costly process of a lawful eviction.

What decides which agency you are is rarely courage. It is position. An office with one large landlord on its books will find it very hard to refuse that landlord anything, because the refusal could cost it half its income. An office with many smaller clients can afford a firm answer, so its answers mean something. Once a firm is unable to refuse, its standards turn into suggestions, and everyone who deals with it learns that pushing works.
