An Institution Has a Posture

15 May 2026 · Sipho Mahayi, principal property practitioner

Habits inside an office decide how it sounds on the phone, and the way it sounds decides whether clients trust the letters that follow. An office whose files each carry a clear note of where the matter stands can answer any caller precisely. One without that note can only say the matter is in progress.

Two calls on the same morning show the difference. A buyer rings a conveyancing office and hears that the guarantees from the bank are in, the rates clearance certificate has been applied for, and the documents will be lodged at the deeds office as soon as it arrives. Another buyer, about another transfer, rings a different office and is told someone will call back. Nobody does, and the next call gets the same sentence.

Neither office has a slogan on the wall about service. The posture comes from small routines, and buyers pick it up within minutes and carry it through every later step, trusting or doubting each update before they read it. The same holds for a managing agent, a rental agency or a municipal office, anywhere most of the work is invisible to the people waiting on it.
